Google Sheets to PDF: How can you do the conversion?

To share something you're tracking in a spreadsheet (e.g. company financials, etc.), you can use a PDF instead of a spreadsheet. Below, you can see how to convert files Google Sheets

Depending on how you plan to share the file, you can simply download it, save it, and send it. Alternatively, you can post a link to the file on your websiteso others can view the sheet as a PDF. This latter option is useful if you plan to make updates/changes to the PDF in the future.

Download the Google Sheets file as a PDF

If you plan to send the file via email, text message, or app , you can easily download it in PDF format.

1. Visit Google Sheets, open the workbook and do one of the following (depending on what you want to convert):

  • To convert specific cells, select them.
  • To convert a specific spreadsheet, activate it by opening that sheet.
  • To convert the entire workbook, you don't need to select anything, just go to the next step.

2. Go to File > Download and select “PDF” in the pop-out menu.

3. At the top right, use the Export to choose from the current sheet, the entire workbook, or selected cells. Then adjust the paper size and page orientation.

4. Then, you can make the necessary adjustments to fit the width, height, or page and make the margins narrow or wide, depending on your preferences.

5. Next, you can use the “Formatting” and “Headers & Footers” sections at the bottom of the sidebar. For “Formatting,” you can check options to show or hide gridlines and notes, and you can also adjust the alignment.

6. In the “Headers & Footers” section, you can use options that will include page numbers, sheet or workbook name, and the current date and time. You can also click “Edit Custom Fields” to view or add these options.

When you're done, click "Export" in the top right. The file will be downloaded as a PDF and will appear in your Downloads.

Google Sheets: Publish a link to the PDF

If you have a website where you want to share your spreadsheet or workbook as a PDF for others to view, you can post a link.

  • Open Google Sheets.
  • Select File > Share and select “Publish to Web” in the pop-out menu.
  • When the publishing box opens, confirm that you are on the Link Tab. Click the “Entire Document” drop-down menu if you want to convert a specific sheet instead of the entire workbook and select it.
  • Then, click on the “Web Page” drop-down menu and select “PDF Document (.pdf)”.
  • Optionally, you can expand the Published Content & Settings section and select the option to automatically republish when you make changes to the sheet or workbook.
  • Select “Publish” or “Start Publishing” and confirm by clicking “OK”.
  • You can then select and copy the URL, add it to a Gmail message, or share it on social media (e.g. Facebook or Twitter).
  • If you want, you can unpublish the file by going back to File > Share > Publish to Web. Open the “Published Content & Settings” section and select “Stop Publishing”. Then, confirm with “OK” in the pop-up box.
